Role

As an Executive Assistant, you are responsible for growing the systems of our organization and assisting with building up a motivated team of True Believers that will help us achieve our company goals. You are also responsible for the operational management of our organization including the implementation of our communications cadence, targeted interactions, and operational systems.


Responsibilities

  • Client-centric mission - reinforce the client-centric mission with our team so that we make certain that we are moving towards our long-term outcomes.

  • Company tenets - work with the team to reinforce the company tenets so that they are used in decision-making in all departments.

  • Recruiting and retention - recruit game-changing team members and put in place operational systems that ensure they stay with us for the long term.

  • People leadership - apply company systems throughout our organization, reinforce transformational leadership in our organization, and create systems so every person knows what their outcomes are, what they are accountable for, and what their scoreboard is (outcome, accountability, and transparency).

  • Events - create the systems and processes for our company events so that they are executed at the highest level; manage event planning and relationships with event partners and clients

  • Company Cadence - scheduling and holding all targeted interactions with our team and with individual departments as needed throughout the year.

  • Manage the relationship with our outsourced accounting company to ensure that we continue to have up-to-date and accurate bookkeeping. 

  • Ensure all inbound invoices get approved for payment and payment is received for all outbound invoices.

  • Manage the communication and projects with our legal partners to ensure we are protected from any legal liabilities.

  • Drive and manage the tactical delivery of ongoing projects in the company deliverables for all company initiatives, and report back to the Executive team. 

  • Support the Executive in executing the vision and growing the business.

  • Manages the Executive's Weekly Commitment List.

  • Managing the Executive’s calendar and productivity, travel, scheduling, and logistics. 

  • Manage the Executive’s inbox and social messages, and debrief daily on what she needs to handle.

  • Managing the creation, implementation, and support of all HR policies, processes, and documentation.

  • Project handoffs; once created, facilitating the implementation and management of said projects.

  • Helping the Executive complete the items on her personal waterfall & perfect day. 

  • Support sales process reporting, attend/review sales calls with the Executive, and generate proposals to send to the client.

Role

The Publicist’s role is to manage the success of client accounts through media strategy, media outreach, media monitoring, and consistent media and client communication.  Our goal is to communicate with a client as often as possible with media updates. In addition, based on the monthly retainer for the client, we have an internal goal of how many media opportunities we aim to secure per week [national, regional, digital, radio, TV, podcasts, etc]


Responsibilities

  • Client-centric mission - follow the client-centric mission so that we make certain that we are moving towards our long-term outcomes.

  • Send 20 cision pitches minimum per week

  • Goal to secure at least 10 media opportunities per week

  • Internal goal for clients to reach 125% of goal of media opportunities each month of clients contract month

  • Develop and nurture productive relationships with clients, as well as with editors, reporters, bloggers, and influencers with whom you will regularly interact.

  • 80% per week secured on individual weekly commitments of Waterfall

  • Support sales process and attend/review sales calls with the CEO, also generate leads who convert to clients.

  • Write and distribute to media, as indicated by the Senior Publicist and CEO, including pitches, press releases, pitch letters, media alerts, and memos.

  • Plans, conducts, and supervises the media/blogger relations task, including pitching efforts, follow-up contact, reporting, campaign fulfillment, etc.

  • Work with our team to develop and implement strategic client plans.

  • Conducts media research to create new connections based on what is trending in the news followed by 

  • Target media outlets filtering through HARO and ProfNet opportunities.

  • Securing and scheduling interviews with Google calendar invites, monitoring, and following up on media opportunities across all platforms.

  • Run monthly client calls with the CEO, creating follow-up notes and a plan of action.

  • Monthly and bi-weekly reporting and updates to clients.

  • Daily client communication through email, slack, and company software.

  • Real-time updating of the media opportunity tracker.

  • Attend and contribute to daily huddles, targeted interactions, and one-on-ones.

  • Weekly manage the client metrics tab where we track the amount of media opportunities we secure which helps build the monthly marketing report by sharing new media wins for the monthly reporting.
